Assistant Operations Manager

  • Salary RM8,000-RM10,000

Location: Petaling Jaya, Selangor

Job Descriptions:

Warehouse Operations

  • Coordinates the warehouse operations and requirements by the 3PL.
  • Performs quarterly audits of the third-party warehouse operator to ensure compliance with the standard warehousing policies and procedures as defined in the service agreement.
  • Manage inventory storage, handling, and product security in compliance with Global Policies
  • Monitors inventory level of warehouse consumable items and triggers replenishment
  • Directly handle warehouse operations issues in coordination and ensure customer satisfaction at all times.
  • Ensure compliance with work safety and good warehousing and distribution practices.

 

Logistics/Order Fulfillment

  • Manage the order fulfillment operations, ensures all salesforce and customer orders are served and delivered timely.
  • Coordinates order fulfillment and ensures correct item and quantity are picked and packed by the 3PL provider.
  • Handles customer complaint/concern on order deliveries and work with service partners for immediate resolution/prevention.
  • Collaborate with other teams/department to integrate logistics processes and timing with company/department requirement and processes.
  • Drive improvement in service levels and inform the immediate manager of any performance, service or cost issues.
  • Work with immediate manager to implement new strategies and initiative to improve service delivery.
  • Monitors arrival of shipment from Dallas and other vendors, coordinate shipping schedule (ETD/ETA) and provides the accredited Customs Broker with copies of the shipping documents prior arrival.
  • Prepares, secure the required documents for government clearance.
  • Review the duties and taxes for import shipments and coordinate payment process.
  • Manage performance of customs broker aligned with defined process lead time. Notify the third-party warehouse of the delivery and share ASN (advance shipping notice).
  • Manage shipment delivery tracking and distribution of rewards/incentives to sales force Work with Sales Team on allocation and mode of distribution.
  • Manage performance and cost of 3PL and courier service providers.
  • Recommend improvement in existing work processes and collaborate with other markets for operations best practices.

 

Inventory Control

  • Monitors inventory level of warehouse consumable items and coordinate order for for replenishment.
  • Ensure compliance to daily Cycle Count activity and Annual inventory count across all locations (third party and BC’s).
  • Drive recounts and validation of variances, initiate measures in coordination with supervisor to correct inventory variance issues.
  • Ensures achievement of Inventory Records Accuracy (IRA) target of the company.

 

Administrative

  • Review, validate and processes monthly billings of couriers, 3rd party warehouse operator, truckers and other vendors before endorsing to superior for approval.
  • Facilitate the renewal permits/licenses:
    • Certificate of Accreditation as Importer (Customs Office)
    • Certificate of Registration as Importer (Customs Office)
  • Prepares the following reports:
    • Shipment Status Report – weekly
    • KPI Achievement Report- monthly

Job Requirements:

  • Education: Bachelor Degree in Logistics/Transportation / Inventory Management/ Supply Chain Management / Business Administration, or equivalent courses.
  • Minimum 5 years previous experience in similar capacity in FMCG or Personal Care, Health, ECommerce. Distribution,
  • Highly Proficient in the use of Microsoft Office, JDE or SAP other ERP
