Temporary Personal Assistant (6 months contract) – Maternity Replacement

Location: Kelana Jaya, Selangor

Job Descriptions:

  • Efficiently manage daily calendars for multiple business partners, fostering strong relationships with external contacts to optimize schedule coordination.
  • Organize and oversee large, complex meetings across various locations and sizes, handling logistics such as scheduling, reserving conference rooms, arranging equipment, and coordinating materials or catering as required.
  • Arrange and coordinate travel for business partners, including complex itineraries such as international and multi-city trips, covering flights, accommodations, and rental cars.
  • Oversee the management of passports and visas required for international travel.
  • Handle complex expense reports, including multi-currency reconciliations, and ensure timely and accurate processing of corporate and personal business-related credit account transactions.
  • Quickly adapt to changes as the Leadership Team implements new tools and guidance to streamline administrative tasks and adjusts business partner alignments.
  • Offer guidance to non-supported business partners, enabling them to independently manage administrative tasks such as calendaring, travel, and expense reporting.
  • Participate in business meetings to gain insights into the business area and priorities.
  • Create and edit documents, spreadsheets, and presentations.
  • Maintain and update group lists, distribution lists, spreadsheets, databases, and collaboration sites.

Job Requirements:

  • Diploma or Degree in any field
  • Minimum 4-5 years’ relevant experience in secretarial or administrative support
  • Experience in supporting Senior Stakeholder in an MNC environment
  • Ability to work independently with a high level of self-management in a dynamic work environment
  • Highly adaptive to changes and business environment
  • Provide backup support for other administrative assistants to meet deadlines or during their absences.
  • Undertake additional administrative tasks or special projects as assigned by the Manager.
